Position Summary

Reporting to the Customer Service Supervisor, Expeditor directly interfaces with vendors to ensure customer orders are shipped according to customer requirements.  The Expeditor performs the following major job functions:

  • Communicates with vendors to ensure purchase orders are shipped according to customer requirements and update Customer Services Representatives with any changes to their backorders.
  • Update notes and delivery dates on purchase orders.
  • Coordinate internally and externally to ensure each customer needs and/or questions, are met.
  • Follow-up to ensure the Customer Service Representatives’ and customers’ requests are satisfied.

Essential Responsibilities, includes but are not limited to

  • Develops and maintains a functional knowledge of Company products and services.
  • Update all open purchase orders created by the purchasing department with accurate notes and delivery dates.
  • Assist Accounting with closing out any open purchase orders.
  • Provide Customer Service Representatives and customers with updated delivery dates on purchase orders.
  • Ensure data integrity by maintaining an accurate account of customer interactions in a timely manner.
  • Provide back up to the Purchasing team members when they are out or if assistance is needed.
  • Address internal / external customer needs and issues and process promptly
  • Keep updated vendor and product information.
  • Build relationships with vendors.
  • Practice courtesy in all dealings with co-workers and managers
  • Supports with daily administrative tasks.
  • Assist the buying team with purchase order administration.
  • Utilize the system and tools for performing duties.
  • Responsible for performing the daily expediting of open purchase orders and monitoring the expeditor communication protocols.
  • Work with the Buyers to resolve purchase order issues.
  • Point of contact for purchase status and address questions or issues that arise.
  • Organize purchase requisition and order documentation as needed.
  • Actively communicate with internal requesters and buyers regarding past due orders and other schedule issues.
  • Monitor, coordinate, and perform file maintenance and organization, including record archiving and data organization.
  • Perform unfilled order status and communicate with internal Requesters.
  • Generate ad hoc status reports as needed for project status.
  • Assist Customer Service with purchasing issues.
  • Assist Receiving with identifying orders.
  • Identify and resolve incorrect quantities and damages on incoming shipments from vendors.
  • Perform additional duties as assigned.

Qualifications

  • Minimum High School Diploma required. Associates degree or higher preferred
  • Three plus years’ industrial Expeditor experience managing customer orders and/or customer resolution and/or services purchasing experience within the industrial safety or environmental industry. 
  • 2+ years’ experience industrial outside sales preferred.
  • Proficient in the use of Microsoft Office (Word, Excel and Outlook)
  • Two plus years’ ERP experience required. Knowledge of NAVISION a plus
  • Inside Sales/Customer Service experience within the safety industry highly preferred
  • Strong computer skills and understanding of spreadsheets
  • Self-motivated and comfortable working with little to no direction
  • Excellent interpersonal communication skills

  • While performing the duties of this job, the employee is required to be in a stationary position over 90% of the time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.  The person will constantly operate a computer, speak over the phone, utilize a keyboard and other office productivity machinery, such as a calculator, copy machine, and computer printer. Must be able to converse verbally to exchange accurate information. Must be able to visually scan documents in detail to detect and identify needs.  The employee must occasionally lift and/or move up to 10 pounds.
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full-time, direct hire position. Hours of operation are Monday through Friday, 8:00 am to 5pm. Overtime or weekend hours may be needed.
